This Privacy Policy describes how Notari Labs LLC ("Notari," "we," "us," or "our") collects, uses, stores, and shares information when you use the Notari device, mobile application, and related services (collectively, the "Service").

We handle audio data — which can include sensitive personal conversations. We take that seriously. Please read this policy carefully.


1. Information We Collect

Information you provide directly

  • Account registration details: name, email address, and password
  • Billing information: payment details processed securely through our payment provider (we do not store full card numbers)
  • Communications you send to us, including support requests

Information generated by your use of the Service

  • Audio recordings captured by your Notari device
  • Transcripts and AI-generated summaries produced from your recordings
  • Speaker labels and names you assign within the app
  • App settings and preferences, including your chosen LLM for processing

Information collected automatically

  • Device identifiers and Bluetooth pairing data
  • App usage data, including features accessed and session duration
  • Log data such as IP address, operating system, and app version
  • Crash reports and diagnostic data

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process your audio recordings and deliver transcriptions and summaries
  • Manage your account and subscription
  • Send transactional communications such as receipts, usage alerts, and product updates
  • Respond to support requests
  • Monitor for security issues, abuse, and violations of our Terms and Conditions
  • Comply with applicable legal obligations

We do not use your audio recordings or transcripts to train our own AI models. We do not sell your personal data.


3. Audio Data and Third-Party LLM Processing

This is the part of our privacy practices we want to be most transparent about.

When you initiate transcription or summarization, your audio recording is transmitted over an encrypted connection to the third-party AI provider you have selected:

  • OpenAI (ChatGPT) — governed by OpenAI's Privacy Policy and API data usage policies
  • Google (Gemini) — governed by Google's Privacy Policy and API data usage policies
  • Anthropic (Claude) — governed by Anthropic's Privacy Policy and API data usage policies

Each of these providers has its own data retention and usage policies for API-submitted data. As of the date of this policy, API-submitted data from these providers is generally not used to train their models, but we encourage you to review each provider's current policies directly — particularly for recordings you consider sensitive.

Notari does not control how third-party LLM providers handle data once it is transmitted to them. By selecting a model and initiating processing, you consent to that transmission.


4. Cloud Storage and Infrastructure

Your recordings, transcripts, and account data are stored on third-party cloud infrastructure, including services provided by Amazon Web Services (AWS) and Google Cloud. These providers maintain industry-standard physical and technical security controls. Data is encrypted in transit and at rest.

For users based in the European Economic Area (EEA) or United Kingdom, your data is stored on servers located within Europe in order to comply with applicable data protection regulations, including GDPR. For users based outside the EEA and UK, data is stored on servers located in the United States.

We retain your recordings and transcripts for as long as your account is active. You may delete individual recordings or your entire account at any time through the app or by contacting support@notarilabs.com.


5. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

With third-party LLM providers — as described in Section 3, when you choose to process a recording

With infrastructure and service providers — cloud storage, payment processing, analytics, and customer support tools that help us operate the Service, under contractual obligations to protect your data

With third-party integrations you enable — if you connect Notari to Notion, Slack, Google Calendar, or other tools, relevant data (such as summaries or transcripts) is shared with those services per your instruction and their own privacy policies

For legal compliance — if required by law, court order, or to protect the rights, safety, or property of Notari Labs LLC, our users, or the public

In connection with a business transfer — if Notari Labs LLC is acquired, merged, or sells substantially all of its assets, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Service before your data is transferred and becomes subject to a different privacy policy.


6. Data Retention

We retain your account information and recordings for as long as your account remains active. If you delete a recording, it is removed from our systems within [30] days. If you close your account, we will delete your personal data within [60] days, except where we are required to retain it for legal or regulatory purposes.


7. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate or incomplete data
  • Deletion — request deletion of your personal data, subject to legal retention requirements
  • Portability — request your data in a structured, machine-readable format
  • Objection or restriction — object to or request restriction of certain types of processing
  • Withdrawal of consent — where processing is based on consent, withdraw it at any time

8. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to delete your personal information, and the right to opt out of the sale of personal information. 9. Children's Privacy

The Service is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete it promptly. If you believe a child has provided us with personal information, please contact support@notarilabs.com.


10. Security

We implement technical and organizational measures designed to protect your data against unauthorized access, loss, or disclosure. These include encryption in transit and at rest, access controls, and regular security reviews.

No system is completely secure. While we work hard to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.


11. International Users

The Service is operated by Notari Labs LLC, based in the United States. If you are located in the European Economic Area (EEA) or United Kingdom, your data is stored on servers within Europe and processed in accordance with GDPR and applicable UK data protection law. We rely on your consent and our legitimate interests as the legal bases for processing your personal data.

For users in other regions, your data may be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to this transfer.


12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through a prominent notice in the app, and update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of the Service after changes take effect constitutes your acceptance of the updated policy.
