Biometric Data Notice and Consent B i o m e t r i c   D a t a   N o t i c e   a n d   C o n s e n t

Separate opt-in required: A persistent voice profile is off by default. Notari will create one for an account holder only after the account holder separately selects: “Remember this voice across recordings — creates a persistent voice profile” and provides the electronic consent described below.

1. Scope and Purpose

This Notice explains how Notari Labs Inc. collects, uses, stores, discloses, retains, and destroys voice data when an eligible account holder voluntarily creates a persistent voice profile. It is intended to provide notice and obtain a written or electronic release where laws such as the Illinois Biometric Information Privacy Act apply. It supplements the Privacy Policy.

2. Default Speaker Separation Is Not a Persistent Profile

By default, Notari may separate voices within a single recording and label them generically, such as “Speaker 1” and “Speaker 2.” This per-recording diarization is used to structure that recording and does not create a profile intended to recognize a person across recordings. A name assigned to another speaker at launch applies only to that recording.

Temporary acoustic features used for per-recording diarization are retained only as needed to process and provide that recording and then are deleted or de-identified under the ordinary content-retention schedule. They are not added to the persistent voice-profile database unless the eligible speaker separately enrolls and consents.

3. What a Persistent Voice Profile Is

A persistent voice profile is a mathematical representation, template, or embedding derived from a person’s voice and used to recognize or suggest that person’s identity across recordings. Depending on applicable law, it may be biometric information or a voiceprint. A voice profile is not a raw audio recording, although selected audio may be processed to create it.

4. Launch Eligibility and Third-Party Voices

At launch, only an account holder may enroll the account holder’s own voice. A user may not create a persistent profile for another person. Labels for other people remain limited to the current recording.

If Notari later supports persistent profiles for other people, the other person must enroll through the person’s own account or a Notari-controlled email, QR-code, or web flow and directly receive the notice and provide electronic consent. The recorder’s statement that consent was obtained will not be the sole enrollment mechanism.

5. Data Collected and How It Is Obtained

When you enroll, Notari processes an enrollment audio sample or eligible portions of recordings you select and creates a voice embedding or template. We also keep enrollment and consent records, including the policy version, consent text, account, date and time, method, profile status, and withdrawal or deletion activity.

6. Purposes and Use

Notari uses a persistent voice profile only to:

  • recognize or suggest your identity in recordings associated with authorized Notari features;
  • allow you to review, correct, manage, or delete voice-based labels;
  • maintain security, prevent abuse, troubleshoot the feature, and verify consent; and
  • comply with law, enforce rights, and document the collection and destruction process.

Notari does not use a persistent voice profile to determine emotion, health, ethnicity, protected traits, creditworthiness, employability, or eligibility for services. Notari does not use it to train Notari’s or a third party’s general-purpose AI model unless you later receive a separate, specific notice and provide separate explicit, informed consent.

7. No Sale or Profit

Notari will not sell, lease, trade, or otherwise profit from a voice profile or other biometric identifier or biometric information. Notari will not use it for cross-context behavioral advertising.

8. Disclosure and Service Providers

Notari may disclose voice-profile data only: (a) to contracted infrastructure or specialist processors that need it to provide or secure the feature and are subject to appropriate restrictions; (b) when you direct or expressly consent to a particular disclosure; (c) when required by a valid warrant, subpoena, or other law; or (d) when permitted by law to protect legal rights or prevent serious harm. Persistent voiceprints are not sent to general-purpose large-language-model providers for transcription or summarization.

9. Retention and Destruction Schedule

A persistent voice profile is kept while you keep the feature enabled and the profile remains necessary for the stated purpose. You may delete it or withdraw consent at any time. When you do, Notari immediately stops using the profile and makes it unavailable in the service; ordinarily deletes it from active production systems within 7 days; and destroys backup copies through secure backup rotation within 90 days.

In all events, Notari will permanently destroy a voice profile when the initial purpose has been satisfied or within three years after the individual’s last interaction with Notari, whichever occurs first, unless a shorter period is required by law. Limited consent, deletion, security, or legal records may be retained where necessary to demonstrate compliance, but they will not contain a usable voice profile unless legally required.

10. Security

Notari applies reasonable administrative, technical, and physical safeguards designed for the sensitivity of voice-profile data, including access controls, encryption in transit and at rest where appropriate, environment separation, logging, and deletion procedures. No system is completely secure.

11. Your Controls

  • View whether a persistent profile is active and review its associated name.
  • Correct voice labels when the feature permits.
  • Turn the feature off and withdraw consent without losing access to unrelated Notari functions.
  • Delete the profile through account controls or by contacting support@notarilabs.com.
  • Request information or exercise any biometric or privacy right available under applicable law.

12. Electronic Consent and Release

Required enrollment checkbox: I have read the Notari Labs Biometric Data Notice and Consent. I understand that selecting “Remember this voice across recordings” causes Notari to collect my voice sample and create, store, and use a persistent voice profile that may be considered a voiceprint or biometric information. I consent to that collection, use, disclosure to contracted service providers, retention, and destruction for the purposes and periods described in the Notice. I confirm that I am enrolling my own voice, I authorize this electronic record and release, and I understand that I may withdraw consent and delete the profile at any time.

The enrollment interface must require an unticked affirmative checkbox or equivalent action separate from acceptance of general Terms. Notari will record the account holder, Notice version, consent language, date and time, and method. Enrollment may not proceed without consent.
